The best variation management software for UK subcontractors
10 options UK specialist subcontractors use for variations, payment and the commercial side of a job, with who each one suits. We make VariationFlow, so it comes first: weigh that as you read. What we say about each of the others comes from its vendor’s own public pages, linked and dated.
1. VariationFlow (our product)
UK specialist subcontractors working under main contractors: fit-out, dry lining, flooring, electrical, mechanical, fire protection, roofing and groundworks among them. Domestic builders have a plan of their own.
- Pricing
- Published. VariationFlow is £200 a month + VAT with unlimited users; VariationFlow + QA Flow £400; Builder £49 for domestic builders. 6-month minimum term, 20% off annually.
- Variations from site
- Captured on site on a phone in about a minute: photos, a voice note, the location and the requester’s signature. Each gets a project reference and goes to the main contractor with a review link that needs no account.
- Deadlines
- NEC4 subcontract compensation event clocks (61.3 notification, 62.3 and 62.6 quotation), JCT confirmation of verbal instructions, and Construction Act payment dates: due date, payment notice, pay less notice and final date.
- CVR
- A CVR per project and period: value from your valuations, cost by head with accruals and provisions, and your QS’s forecast, with a portfolio view across jobs.

Questions
- What is variation management software?
- Software that records each change to a construction contract’s scope from the moment it is instructed: the instruction, the evidence, the price, the main contractor’s response and the payment. For a UK subcontractor it also has to work the contract’s deadlines, such as the NEC4 subcontract’s compensation event periods and the Construction Act’s payment dates.
- Why is VariationFlow listed first?
- Because we make it. This page is ours, so read it as a vendor’s guide: every other entry says who that tool suits and links to its comparison, where each claim about it is sourced from its vendor’s own public pages and dated.
- How should a UK subcontractor choose variation software?
- Start where the money is lost. If variations start on site and go unrecorded, look for capture from a phone with the evidence. If deadlines are missed, check for the NEC4 subcontract and Construction Act dates by name. If your main contractors already run a payment platform, joining it may cover applications. If you need ledgers and payroll, look at an ERP.
We make VariationFlow, which is why it is listed first. What this page says about each other product comes from its comparison page, where every claim is linked to its source and dated; where we could not find something on a vendor’s pages, the comparison says so rather than guess. Product names are trade marks of their owners, none of whom has reviewed this page. Something wrong or out of date? Tell us and we will correct it.
